Welcome to today's webinar, Optimizing Workforce Management and SAP Success Factors or with SAP SuccessFactors and Legion Workforce Management. My name is Riley O'Dowd. I'll be kicking off today's program. I just want to get started with a few housekeeping announcements before we begin. Organizations today face complex workforce challenges from balancing labor efficiency with employee satisfaction to integrating modern technology solutions for streamlined operations. As companies strive to meet the demands of a dynamic labor market, the combination of SAP SuccessFactors and Legion Workforce Management offers a powerful, modern approach to workforce management. Welcome, Melissa and Vivek. I will pass it off to you to dive into today's session. Excellent. Thanks so much, Riley. I appreciate it and thank you everyone for joining us today. And if we just go to the next slide, retailers right now, as you all know, are caught in a perfect storm, whether it's supply chain volatility, potential for tariff impacts, inflation that's cutting into margins, and consumer behavior that's unpredictable. And under these conditions, labor becomes one of the only controllable levers left to protect profitability. You know, first with tariff and trade disruptions, they're driving up the cost of goods, squeezing already thin margins. And since it's tough to simply, you know, raise prices without losing customers, you know, the smart move really is to focus on finding efficiencies in your labor. As I said, that's one of the largest controllable expenses for many retailers. Secondly, as product margins shrink, every labor hour must be optimized so that it's either directly impacting sales and top line revenues, or service and delivering excellent service to your customers. Modern AI workforce management tools do exactly that. They analyze real time demand and automatically schedule the right people at the right times. This means fewer wasted hours and more cash moving through your checkout. Thirdly, you know, manual scheduling and outdated models tend to lead to over staffing or maybe gaps in staffing. And managers end up spending a lot of time, you know, more time fixing schedules than they do serving customers or even coaching their teams. And by contrast, a dynamic workforce management platform continuously updates labor plans based on accurate forecasts, freeing your managers to focus on what really matters and what's really important to your business. And then next, you know, levels, you can't have your service levels slip just because costs are rising. You need to make sure you're consistently delivering exceptional service, and customers expect shelves to be stocked, associates to be available, and with intelligence scheduling, you can make sure your top performers are on the floor during those peak windows without blowing your entire labor budget. And then finally, volatility, let's face it, is really just the new normal. Shipments get delayed, traffic patterns tend to shift, and promotions can be launched on a whim. So you can redeploy staff across stores or shift hours in response to those late deliveries. So in short, you know, just to get us started today, if you think about workforce management, it's really moved from a back of office task to much more of a strategic lever. It's really a tool that can help protect your margins, maximize productivity, and maintain that customer experience in this unpredictable landscape that we have today, and that's really what we're here to talk about. Okay, but you know, the issue is many retailers are feeling trapped between either raising prices, risking customer loyalty, or cutting labor. And both of those really threaten service quality and sales. But at Legion, we really believe that there's a smarter path forward. And this disconnect leaves managers flying completely blind, struggling to align staffing levels with performance expectations. We just really recently announced today an annual state of the hourly workforce report, which we're launching. And in that report, it was really interesting. One of the things that we found is that managers have this as a top of mind priority right now. They're very focused on optimizing productivity. In fact, 84% of managers that were surveyed said that they really wish they had technology that helps calculate hourly employee productivity in a consistent way and automatically. And another 86% are interested in technology that would identify those high performing employees and automatically schedule them at peak or strategic times for their business, when you really want those high performing employees there the most. And that's where Legion comes in. So rather than cutting costs, cutting hours, or staff, we help retailers and restaurants, hospitality companies optimize their existing resources and their existing workforce. Alright, excellent. So a perfect schedule. What is a perfect schedule? A perfect schedule balances a couple of things. It balances business efficiency with employee satisfaction. You know, it really can't compromise one for the other. It also includes optimal labor guidance. Part of that might be precise demand forecasting and labor plans tailored to your individual business needs. Another component is ensuring that you have all of the employee data and inputs are being considered when creating a schedule. So considering things like employee skills, certifications, preferences, availability, and productivity metrics, which is also something also, usually something that's missing from a lot of plans. Another input is around compliance with policies. That's critically important to make sure you're automatically adhering to labor laws, companies specific, country specific staffing rules, and ensuring equitable and compliant schedules. And one of the last key inputs and factors is around constraints management. So making sure you're incorporating budget limits, store hours, and staffing levels into scheduling decisions. And Legion takes all of those and supports all scheduling methods at the same time. So whether that be static, dynamic shift patterns, or self-service scheduling. Legion AI automatically computes and adjusts all of the inputs that we've talked about and that you see on this slide to automatically generate that schedule. And then to help managers, managers have a weighted schedule score that gives them visibility to how well a schedule meets their key goals. And then Legion AI learns from those manager adjustments and automatically incorporates only those that improve the schedule score while staying within all of the rules. So you're continuously optimizing future schedules as well. So ensuring all of these inputs are included, it's nearly impossible without AI. Many solutions also lack the ability to automatically calculate and schedule based on productivity. So, this is really a game changer for many businesses. And so as a result, there you go. There's the perfect schedule. So let's dive into what Legion AI, just as an example, to help familiarize yourself with Legion and our workforce management, and what the AI accomplishes on a weekly basis, and why these numbers really matter for you and your business. Every week, 1,200,000 shifts are automatically generated using AI. That's right, over a million shifts each week without any manual intervention. Right, so let's talk about our mobile solution now. So as we talked about, you know, you can see a few images here. The Legion mobile app is highly rated. We have, you know, 88% of employees who have access to the mobile app are using it on a regular basis throughout the week. All in one app, you can have flexible schedules, instant pay, you can, you know, view schedules, you can swap or claim shifts. And as we just talked about, it's an app that employees love. Well, we see a lot of adoption of very high ratings in all of our app stores. Okay, and then before I pass to Vivek to speak more about the integration, I wanted to share just a few real world examples of the value that customers have achieved. So as you can see, not only are our customers able to achieve those perfect schedules that we were talking about, but they're also spending significantly less time creating and managing them. So when you look at, you know, Helzberg, Helzberg is also scheduling their employees based on productivity for those peak shifts to help drive sales. And they've managed to reduce scheduling time by 66%. Aldo, another customer, joint customer of SAP and SuccessFactors and Legion has reduced their scheduling time by over 50%. And so all of these are achieving real world examples. And with that, I'd like to pass to Vivek to dig a little bit deeper into the integration itself. Vivek? Thank you, Vanessa. Awesome. So really, this is a slide that we're extremely proud of. Last Success Connect in Lisbon, Dan Beck, who's obviously the president and the chief product officer at SuccessFactors, he stood up on stage and called out Legion for the futuristic view and understanding of a vision of a really awesome partnership. So he was definitely upbeat about it when this was announced last year. And subsequent to that, then we went on this journey of becoming an Endorse app. I will tell you something from my personal experience, it's not for the faint of heart. It is a very rigorous process. And I'm extremely proud to say that we went through it not only with a lot of confidence, but a lot of success came out of that validation. We'll talk about that validation in just a bit, a little bit in more detail in just a bit. But the key message here is that not only is this process rigorous, it is something that Legion will actually undergo pretty much every year. It's an annual recertification process. And so any new integrations that we build, any new features that impact the better together story that Melissa was talking about, If any of those get impacted with these future builds, if you will, we will redo the certification annually. And therefore, these annual recertifications are going to be adding a tremendous amount of value. Our customers are going to absolutely benefit from this. And really the continuous improvements that we bring to the Better Together story is going to be part of that created new value or additional value that we create as part of the certification process. So let's kind of dig a little bit deeper into what this endorsed app certification, integration, validation really means. It's far more than just a batch. Let me kind of walk you through some of these criteria, right? So the first real thing that criteria that we were evaluated was around the architecture and performance. So this included pretty much everything from end to end operability of the platform, to the database level where the database efficiency was validated, the network latency and scalability issues were validated. So this whole validation around our architecture and performance was to ensure that Legion supports not only an optimal response times for transactions, but also that Legion is very well and solidly architected and it can grow in a linear way when it comes to resource utilization and consumption and that sort of thing, right? And at the end of the day, that ensures that Legion platform can scale successfully, that there are no surprises for anybody involved, right? So the second sort of category was really around security and compliance. SAP really closely looked at our ability to safeguard our customers' data through logical and physical data isolation, through privacy controls that we have in place within our solution, and also assessing our compliance measures that we have in place today. All of this basically confirms to a solution that meets these stringent enterprise grade security expectations that our SAP customers have off SAP and therefore by extension off Legion. So the two big callouts that actually were not necessarily mentioned in the slide here that kind of I was thinking about as I was getting ready for the webinar today, was really around the security aspect has the additional code scanning that we went through, which is we took our entire Legion platform and a third party application that scanned our entire code base for vulnerabilities was performed. Again, something not for the painthearted, I can tell you again. And the other piece around the data and the usage of data was around how Legion AI leveraged that data to bring to life all of these generativeoptimized use cases, if you will. And the fact that the data that was being used to train our models didn't necessarily commingle with any other data from other customers or that it did not introduce unintended biases as the AI models performed its tasks. So all of that was again part of that category of security and compliance validations, if you will. From modern and software development lifecycle process, we were again evaluated on how we continuously deliver our software in a stable lifecycle manner, as well as when we do introduce all these additional features through continuous delivery that we are not necessarily introducing newer bugs and that these are regression free upgrades, if you will. These qualities are essential for customers who want to innovate fast without actually having to sacrifice quality or compatibility issues, if you will. Around the innovation and usability aspects, validation process was really going to ensure that the embedded AI that we use was clearly documented, that there was support for global deployments and the localizations and the functional correctness of the application was intact and that there was high integrity in those innovations and accessibility features, if you will. So the bottom line really is that the certification wasn't just about ticking boxes. It really was built to integrate deeply and to scale securely and to deliver value to the customers. And it's a key differentiator when it comes for customers that are really looking for that solution that is validated and builds high confidence in the entire SAP stack, not just Legion, if you will. Moving along, so what are we going to be doing going forward around this integration story? So not only are we saying that we are better together because we have separation of scheduling and time capabilities, but also the fact that we have pre built some integrations that are currently in the platform that we are migrating to BTP. And going forward, Legion will be aligning our entire integration tool and strategy with SAP BTP, if you will. And we know that BTP is a foundational element of SAP's overall strategy and we at Legion see this as a critical enabler, if you will, for our own approach as well. So we are going to leverage BTP to build all these pre built integration iFlows, if you will. We'll use BTP to submit any workflows and deeply sort of commingled data flows and so on and so forth, if you will. So our B2B centric approach to SuccessFactors is really anchored, if you think about it, in two distinct complementary pillars, if you will. The first is this back end data integration, if you will. And the back end data integration is all about connecting SAP, the data in SuccessFactors with Legion and such that these two systems can then actually talk to each other. It leverages the SAP's BTP integration suite to get that data back and forth. And we're building on the Legion's Open Connector that we have already built. That Open Connector is going to enable all of these additional business objects that we are going to connect. We'll just talk about that in the next couple of slides in terms of what that is. The other sort of complementary pillar is really around experience and extensibility. And that experience is really kind of the UI experience or the user experience. So this pillar is really about delivering value through an integrated UI and robust extension capabilities. And we're using SAP's extensibility service for that. Again, this is also part of BTP. And this is going to then enable flexible extension management as well as cohesive UI all within the BTP framework. So, from a perspective of what this looks, if you go on to the next slide, it's really a deep UI integration and Riley, if you could just keep clicking and build a slide for me. So right here you see within the, sorry, go back one slide please. Thank you. So as you see, this is a mock up or a proof of concept that we've worked on right now. This is just to showcase the type of deep integrations that we will be building on in the next couple of releases. As an example here, you are here in SuccessFactors where you click on a widget on the homepage that says View Schedule. As you do that, Riley, if you could just move on to the next one, it will launch the BTP application where it's mashing up data from Legion and where needed from SuccessFactors. So here you can see who's going to be starting schedule soon and sorry, who's going to be coming in to work soon and what are some of the schedules for the remainder of the week ahead, if you will, and how those scores are. As you perform edits, those scores will automatically refresh and be available within SuccessFactors dashboard. If you wanted to go and actually edit it, next slide please, you could actually navigate from there into Legion, deep linked and ready to sort of take action on the actual edit screens, if you will. So that's kind of like the user experience where a lot of this will be seamless and will be contained within that one single user experience. So that's kind of like just a little teaser for what we're working on from a user experience. Next slide please, Rally. From a data integration perspective, now this is a little bit of an ISO, but the value that this brings is that we are really connecting all of the business data that is required across the two systems. So if you look at it, Legion is now serving as a system of record for workforce scheduling, right? So you'll see everything that has to do with scheduling is part of Legion. And SuccessFactors remains the system of record for time tracking, for payroll processing, and obviously for maintaining all of the employee demographic data and so on and so forth. So from an integration design principle, we've basically designed the data flow from SAP to Legion to kind of take into account all of the master data, the skill data, the accruals and balances, the actual time work, which is also captured in time tracking, if you will, on the EC side and feed into Legion, right? A lot of those will inform the quality of schedules that we bring and also optimize our AI to create a robust informed schedules, if you will, based on not just the skills of the employees, but also the availability, the time offs and so on and so forth. So this really enables that real world employee sort of preferences that are taken into account when schedules are created. On the reverse side from a data flow perspective, the feed from Legion to SAP will include schedules and actual work schedules that are potentially fed into time tracking straight up, or it could also include the mobile punches, if at all customers choose to punch through either mobile or some other device to inform success at this time tracking. So at the end of the day, that's where the bidirectional integration shows that each of the system maintains their own domain where scheduling and time tracking comes into play. And they operate not only in cohesion and harmony, but they at the same time deliver really highly accurate, actionable insights as well as real time visibility into operational workforce management, if you will. With that, I believe we could open up for Q and A or any questions that may be out there. Yeah, Vivek, it looks like we have just one question and that is for you actually. And that's how is data integrity maintained between Legion and SAP SuccessFactors, especially when changes happen in both systems? Great question. Really great question. So we maintain data integrity through multiple different approaches and combination of how we do things, both from a build perspective of the integration, as well as the operational aspects of the integration. So when it comes to the build, we built and architected the integration that is event driven and event driven really basically means that you reconcile the data and you update the data almost on a near real time basis. We also support a full sync, meaning you can kind of dump the entire data if you will. We also do last modified type of an approach, which means give me the data from the last time it was modified and so on and so forth. And you combine these three things, the real time, the last modified, the full synchronization, and you have pretty much guaranteed that the data is always in sync and the integrity is maintained. From an operational and execution standpoint of integrations, we make sure that the data as these integrations are executing, that there is a real time monitoring of the execution and we feed that data right into SuccessFactors in what's called the execution manager where the visibility of those integrations, the errors and the success rate of those integrations are all documented in real time. So, something that really is at the fingertips of anybody who wishes to make sure that everything is working correctly, it's easily doable. Okay, excellent. Thank you so much, Vivek.
